The healthcare sector continues to adapt technology to improve further the services rendered to the hospital’s stakeholders. A hospital is a home where patients are treated. In treating patients, health physicians rely on the records of the patient’s ailments (previous and present), the results of their medical laboratories, and the result of consultations as a reference to diagnose the patient’s illness. One way of keeping the previous records is through medical transcription. Medical transcription is the process of converting medical records into audio files. Transcribing medical records are done by medical transcriptionist while ensuring to maintain the accuracy of the records. In this study, the researchers have found out that hospitals face difficulties in giving medical transcriptionists a platform to store the audio files. Highly accessible by authorized personnel such as doctors for retrieval. With this, the researchers grab the opportunity to develop an IT-based solution that will streamline transcription, storage, and recovery of audio files. The capstone project, entitled “Medical Transcription Platform,” is designed as a centralized repository of transcribed medical records audio files. The researchers will build the project in accordance with the Software Development Life Cycle (SDLC) methodology, which is currently in use. Hospitals and the medical transcriptionists who work in them are the intended users of the system.
Introduction of the Study
Information technology has made everything easier and simpler, including transcribing the medical diagnosis of patients. The capstone project, entitled “Medical Transcription Platform,” is designed to allow medical transcriptionists to transcribe audio of medical consultations and diagnose patients in a centralized manner. A medical transcriptionist is vital to keep accurate and credible medical records of patients and can be used by other doctors to know the patients’ medical history. The said project will serve as a platform where transcribed medical audios are stored for safekeeping and easy retrieval.
Patients’ medical records and history is vital in the process of future patient diagnosis and reference of health professionals. Hospitals keep records of the patient’s result of medical consultations and previous diagnosis; one of the recording methods is through medical transcription. Medical transcription is the process of recording all patient’s details of previous and existing ailments, results of different laboratories, and other records into an audio file. The doctors, nurses, and other health physicians need to easily access and retrieve the audio files to support them with accurate medical records of patients for future diagnosis. Hospitals and medical transcriptionists need a centralized platform to store the transcribed audios and at the same time give access to authorized personnel for retrieval.
Proposed Solution
Because of the concerns raised above, the researchers advocated the creation of the Medical Transcription Platform. The proposed project will streamline the process of storing and retrieval of transcribed medical records. The medical transcriptionist will register in the system. They can upload every bit of audio files they transcribe to the system for safe-keeping and to protect the confidentiality of the audio records. Authorized personnel like doctors and other health physicians will be given access to retrieve the audio files as their reference for future patient consultation and diagnosis. The proposed project will give way to a more secure and confidential sake-keeping of transcribed medical records.
Objectives of the Study
General Objectives – the researchers generally aim to implement a medical transcription platform as a centralized repository of transcribed medical audios as part of the patient’s medical history.
Specifically, the researchers aim to:
- To design a system that will hold the audio files secure and confidential.
- To increase the accuracy of the transcribed medical audios.
- To serve as a centralized platform that stores audio files of medical records.
- To ease up and simplify retrieval of audio files that will serve as a reference for the health physicians.
- To subject the system’s output to an evaluation in terms of user acceptability, effectiveness, quality, productivity, and reliability.
Scope of the Study
This study only concentrates on the development process of the Medical Transcription Platform. The researchers will develop the platform based on the predefined project requirement and needs of the intended users. The platform is specifically designed only for hospitals’ medical transcriptionists. The target users of the system are hospitals, medical transcriptionists, and physicians.
Significance of the Study
The following are the target end-users and could benefit to the output of the project:
Hospitals. The success of the project will help them have a centralized platform to store transcribed medical audio files. This will ease up retrieving the audio files that may serve as a reference for physicians in diagnosing their patients.
Medical Transcriptionist. The platform will help them store their transcribed audios in a centralized platform. The platform will ease up listing and downloading of audio files, which come in handy for future visits of patients and diagnosis.
Researchers. The success of the study will further enhance their skills and knowledge as researchers.
Future Researchers. The study can serve as their reference or guide in their pursuit of developing their medical transcription platform.

Conclusion
This study was conducted to assess the pre-existing methods of medical transcription. The study reveals discrepancies in the current method, and the researchers have seen the gap for development. Thus, the researchers developed a Medical Transcription Platform and presented it to the respondents and target end-users. The study’s findings revealed that the established system matched the demands and requirements of the study’s target end-users and responders. In terms of user acceptability, efficacy, quality, productivity, and reliability, the majority of respondents saw the system’s potential and gave it positive ratings.
As a result of the findings, the researchers concluded that the proposed system is a viable platform for medical transcription. It will ease up the work of medical transcriptionists. It will help in laying the foundation for the future visits of the patients and their medical diagnosis. It will make storing and retrieving transcribed audios easy, quicker, accurate, and convenient.
Recommendations
The study’s impressive findings encouraged the researchers to strongly advocate for the system’s implementation. The Medical Transcription Platform is recommended for its efficiency and dependability that can be rendered to the target end-users. It will strengthen the security and confidentiality of the audio files that contain the patients’ medical records. The researchers also highlight that the intended end-users should familiarize the features and how the system works to use it properly.
The researchers mainly recommend implementing the system in hospitals for them to have a reliable reference for future diagnosis of patients and provide better and quality health care to patients. The medical transcriptionist can utilize the system to streamline their work in transcribing medical records and directly store it in the system. The platform is highly recommended for sake keeping and easy retrieval of the audio files.
